Legal Secretary – Commercial Real Estate

Chelmsford Office

The Role
We have a vacancy for a full-time Legal Secretary to join our busy and well respected Commercial Real Estate team in our Chelmsford office.

The Department
You will join the fast paced Commercial Real Estate team which provides a wide range of services inclusive of landlord and tenant, lending and finance, development and investment.

The Candidate
We are looking for an enthusiastic applicant to join the team to help to deliver a proactive, secretarial support service to our Fee Earning team.  Previous secretarial experience within a Property role is essential to enable a high-quality secretarial service to your allocated Fee Earners as well as other members of the Department.

Main Duties and responsibilities

Organisational Support
• Effective & productive diary management, and awareness of Fee Earners’ workloads to plan ahead, with minimal supervision
• Organising daily routine to ensure that correspondence, documents and instructions dictated or given by your Fee Earners are completed accurately and on time.
• Dealing with post, internal and external, distributing and action as required.
• Maintains a professional attitude and effective communications between Clients, Fee Earners and the team.
• Process relevant documents (searches, Land Registry Forms, Stamp Duty, Land Tax Forms), on time with accuracy and minimal supervision.

Client Relationship and Business Development
• Acts as a first point of contact for Fee Earners, providing a first-rate service to clients, both internal and external, in a timely and professional manner, presenting a positive image of the Birkett Long at all times.
• Provides a first-rate telephone support service, answering all telephone calls and managing enquiries. Taking appropriate and detailed information and ensuring any messages are passed on instantly to the relevant persons.
• Organises business development meetings and events for Fee Earners and assists in the production of business development materials in liaison with the Marketing team.

Document Production
• Creates new documents from the Firms templates, using data from the Case Management System, file and team workflows where appropriate.
• Proof reads all documents for spelling, grammar and sense, querying wording where appropriate.
• Ensures files are kept tidy, accurate and up to date then closed and archived as appropriate

The ideal candidate will have;

• Excellent communication skills both verbal and written
• Professional work attitude
• Excellent organisational skills and the ability to prioritise
• Strong attention to detail
• The ability to work as part of a team as well as on their own
• IT literate and proficient in the use of the Microsoft Office packages (Word, Outlook, Excel)
• Strong typing skills and previous Track Changes experience.

Commercial Real Estate Solicitor

We have a vacancy for a full-time 5 years PQE Solicitor to join our busy and well respected Commercial Real Estate team in our Colchester office (although there is a possibility this position could be based in our Chelmsford office).

The Department
You will join a busy and highly regarded team dealing with all aspects of commercial real estate including sales and purchases, investment, secured lending, development, options and conditional contracts and non-contentious landlord and tenant matters.

The role will involve full marketing and business development and therefore the ideal candidate must be flexible enough to work outside normal office hours when required and preferably have their own vehicle as well as a clean driving licence.

The Candidate
We are looking for a Commercial Real Estate Solicitor with circa 5 years experience in all aspects of Commercial Property Law.  Experience in development work would be advantageous. We will consider exceptional candidates with a lower PQE.

The candidate must be outgoing, possess excellent verbal and written communication skills and be a team player.

The ideal candidate will manage their own caseload, appropriate to their level of experience.

• Makes effective use of the case management system.
• Proof reads all documents for spelling, grammar and sense, querying wording where appropriate.
• Adopts a proactive approach and works with Fee Earners effectively, to maintain regular file management. Ensures files are kept tidy, accurate and up to date then closed and archived as appropriate

The ideal candidate will have;
