The Role
We have a vacancy for a full-time Legal Support Assistant (secretarial) to join our busy and well-respected Divorce and Family team based in our Colchester Office.

The Department
You will join our busy and highly regarded team working alongside two Partners and two experienced Solicitors who provide specialist advice and guidance to our clients through the entire divorce and separation process (including Collaborative Law) and all aspects of living together.

The Candidate

We are looking for a self-motivated and enthusiastic Applicant to join the team and hit the ground running to contribute towards delivering a proactive legal support service to our lawyers. Previous secretarial experience gained within a matrimonial role is preferred. 

Main Duties and responsibilities

  • Organisational Support

Demonstrating effective and productive diary management, and awareness of Fee Earners’ workloads to plan ahead, with minimal supervision

Organising daily routine to ensure that correspondence, documents and instructions dictated or given by your Fee Earners are completed accurately and on time.

Dealing with post, internal and external.
Taking responsibility for enquiries and providing the Fee Earner and Client with as much information as possible to ensure queries are dealt with in the first instance.

  • Client Relationship and Business Development

Acting as a first point of contact for Fee Earners, providing a first-rate service to clients, both internal and external, in a timely and professional manner, presenting a positive image of the Birkett Long at all times.
Providing a first-rate telephone support service, answering all telephone calls and managing enquiries.
Taking appropriate and detailed information and ensuring any messages are passed on instantly to the relevant persons, including cross referring clients to other teams as appropriate.

  • Document Production

Creating typed work of a high quality, formatting in accordance with house style, being aware of the layout of documents, forms and letters and producing these with accuracy and at a high speed.
Proofreading all documents for spelling, grammar and sense, querying wording where appropriate.
Adopting a proactive approach and working with Fee Earners effectively to maintain regular file management.
Ensuring files are kept tidy, accurate and up to date then closed and archived as appropriate

  • Financial Risk Management.

Preparing Anti Money Laundering (AML) documentation and obtaining relevant documentation from clients in a timely manner, as required by Fee Earners.
Alerting Fee Earners to unpaid bills, monitoring and chasing payments for Aged Debts.

  • IT Systems/Skills

Maintaining a high level of proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint and Outlook)
Being knowledgeable in the use and operation of office equipment (computers, printers, MFU’s and audio equipment)

General Duties/Personal Qualities

  • Has excellent timekeeping and prioritises work effectively.
  • Is flexible, reliable and cooperative with a professional approach to work.
  • Works as a positive, friendly and helpful team player.
  • Communicates in a positive and constructive manner.
  • Interacts in good faith and demonstrates effective listening.
  • Attending any meetings or training sessions as required.
  • Carrying out any further duties as requested by your Fee Earner/ Team Leader.
  • Offers suggestions on possible improvements in working practices.
  • Liaising with Fee Earner/Team Leader regarding overload/underload of work and being prepared to assist other team members or departments if required to cover holidays, sickness and heavy workloads.

Trade Mark Attorney

Colchester Office

The Role

We have an exciting new role for a pragmatic and driven Trade Mark Attorney to join our new Intellectual Property team in the Colchester office. Applications for the position will be considered on either a full-time or part-time basis.

This is a rare opportunity to be a key part of a fast-growing Intellectual Property team within a Legal 500 law firm. The role will involve providing practical advice to a broad portfolio of clients.

The Candidate

You will be a Chartered Trade Mark Attorney with the ambition and commercial acumen to assist in driving the new IP department forward. We are prepared to consider applications from a variety of experience levels.

You will be involved with all aspects of managing the department’s portfolio including domestic and international filing, prosecuting, monitoring of trade marks as well as opposition and cancellation work. You will ideally have some experience of drafting license agreements. Expect to get a varied diet of contentious and non-contentious work.

You will be passionate to deliver succinct, high quality advice with excellent client and team communication skills. The ideal candidate will also have an eye for detail, work with high levels of accuracy and possess the ability to work under pressure, prioritising effectively.

The ideal candidate must be flexible enough to work outside normal office hours when required and preferably have their own vehicle as well as a clean driving licence.
