Administration Assistant

We have a vacancy for a full time Administration Assistant in our Colchester office.

The Role
You will join the Administration team in the Colchester office to provide administrative assistance, contributing towards the smooth and efficient running of the office. Some previous administration experience would be advantageous but is not essential.

The main duties and responsibilities will include;

• Post duties; collections and deliveries, opening incoming post, distributing to relevant departments and franking outgoing post;
• General administration duties, for example filing, photocopying and scanning;
• Files/Deeds returns and archive to include some manual handling work;
• Maintaining stationary levels;
• Electronic filing, archiving and liaising with colleagues in relation to files/deeds;
• Data entry;
• Internet research.
• Setting up meeting rooms;
• Ensuring a high standard of tidiness in all client facing areas before and after meetings;

Financial Services Administration Assistant
Maternity Cover
Colchester Office


The Role
We have a vacancy for an Administration Assistant to join our Birkett Long IFA Team.   The position is a maternity cover contract which is full time and will terminate on the return of the maternity leaver. The position is based in our Colchester Office.
 The main duties and responsibilities will include:
• Audio typing
• Providing administration support to Financial Planning Managers
• Processing new business and general client administration as required
• Database creation and management
• Preparing necessary paperwork and application forms for client meetings
• Liaising with other Financial Services Team members and departments in the firm in relation to mutual clients
• General secretarial/admin. support
• Dealing with telephone calls from clients and product providers


The Candidate
We are seeking an individual who is highly organised and has great attention to detail.
The ideal candidate will have excellent typing skills and communication skills both verbal and written coupled with a professional work approach and  a positive “can do” attitude.  The administrative assistance will contribute towards the smooth and efficient running of the department.  Full training will be provided but previous administration experience would be advantageous but is not essential.  However typing skills are essential.

The work can be fast paced and the successful candidate will need to have the ability to work as part of a team as well as on their own.

Trainee Financial Adviser 2019


We have an exciting opportunity for an exceptional candidate to join our Birkett Long IFA Team as a Trainee Financial Adviser as part of our Trainee Adviser programme.
This is a two year structured programme which will involve working closely with our highly experienced Financial Planning Managers who will help you to both enhance the skills required to develop your career and undertake the Chartered Insurance Institute Diploma in Regulated Financial Planning.
The position is full time and will initially be based in our Colchester Office although it may be necessary to work at our other two offices; therefore flexibility is essential.
The ideal candidate will:
• Be someone with an interest in financial planning or have experience in the Financial Services sector;
• Be self motivated;
• Be able to multi-task and work under pressure;
• Have excellent communication, and interpersonal skills, and empathy;

Patent Attorney

Colchester Office

 

The Role

We have an exciting new role for a pragmatic and driven Patent Attorney to join our new Intellectual Property team in the Colchester office. Applications for the position will be considered on either a full-time or part-time basis.

This is a rare opportunity to be a key part of a fast-growing Intellectual Property team within a Legal 500 law firm. The role will involve providing practical IP advice to a broad portfolio of clients. The role is likely to include work on the full spectrum of intellectual property rights in the first instance and becoming increasingly technically specialised as the department grows.

Our work matters which will suit most technical backgrounds, although it should be emphasised that a grounding in mechanical and low-tech applications will be an advantage; as one would expect, the successful candidate must be willing and able to learn quickly about new, often unfamiliar, technologies.

The focus is primarily on drafting and prosecution of patent applications, but experience in other fields of IP law, especially trade marks, will be useful.


The Candidate

You will be a fully qualified European and/or Chartered Patent Attorney with the ambition and commercial acumen to assist in driving the new IP department forward.

You will have the ability to think strategically and will be passionate to deliver succinct, high quality advice with excellent client and team communication skills.

Patent Formalities Officer

Colchester Office

We have an exciting new role for a proactive and efficient Patent Formalities Officer to join our Intellectual Property team in the Colchester office on a full time basis.

The Role
You will be responsible for providing full Intellectual property formalities support service to our Head of Intellectual Property. You will liaise with clients on a regular basis both verbally and via letter/email correspondence as well as dealing with filing and general support work. You will act as a first point of contact for the team; providing a first-rate service both in person and over the phone to include; booking meetings for new and existing clients; processing new enquiries, booking client meetings and accurately managing the client files. This is a fantastic opportunity for someone looking to enhance previous formalities experience and gain exposure in a more client focused role.

Key responsibilities include:

• Euro-GB validation work.
• Filing UK patent applications / European patent applications / Euro-PCT applications.
• UK and Euro trade mark and design filing
• International (UK handling office) filing.
• International (Euro handling office) filing.
• Compiling Information disclosure statements.
• Payment of renewals and sending renewal reminders
• Deal with post, internal and external, distributing, actioning and filing as required.
• Communication with registries (UK / Europe  / WIPO)


The role will include file management and creating high quality typed work with accuracy and at a high speed; including the preparation of quotes, jobs, invoices and credit notes.

The Candidate
The ideal candidate will have had previous patent formalities experience and ideally be familiar with UK, European and international systems such as Madrid and the PCT.

You will have an eye for detail, work with high levels of accuracy and possess the ability to work under pressure, prioritising effectively.

We have a vacancy for a full-time Conveyancing Assistant to join our busy and well respected Residential Real Estate team in our Colchester office.

The Department
You will join the fast paced Residential Real Estate team which provides a wide range of services inclusive of:

• advice and guidance on buying, selling and renting a property;
• mortgages; how much is outstanding and redemption penalties;
• terms of tenancy and written agreements;
• legal transfers of property.


The Candidate
We are looking for an enthusiastic applicant to join the team to help to deliver a proactive, support service to our Fee Earning team.  Previous secretarial or administrative experience within a property environment is mandatory to enable all correspondence and documents to be produced to the required standard and on time. Familiarity with how a property file runs from beginning to end would be also be advantageous.

Main Duties and responsibilities
• Deal with post, internal and external, distribute and action as instructed.
• Maintain a professional attitude and effective communications between Clients, Fee Earners, team members and colleagues.
• Email management;
• Chase documents upon instruction.
• Ensure queries are dealt with in the first instance.
• Arrange travel and any other activities on behalf of others, where appropriate (team training, meetings, client meetings, car parking).

Client Relationship and Business Development
• Provide a first-rate service to Clients, both internal and external; presenting a positive image of the Birkett Long at all times.
• Take appropriate and detailed information from enquiries, relay messages as soon as possible to the relevant persons.
• Recognise, respect and honour Client confidentiality at all times.

Document Production
• Create high quality typed work with accuracy and at a high speed; format in accordance with house style.
• Ensure files are opened, kept tidy, accurate and up to date then closed and archived as appropriate.
• Proof read all documents for spelling, grammar and sense, query wording where appropriate.

Financial Risk Management
• Prepare bills as dictated by Fee Earners.
• Application and knowledge of the Firm’s procedures in billing, AML and Debt Management.

The role will involve some marketing and business development and therefore the ideal candidate must be flexible enough to work outside normal office hours when required and preferably have their own vehicle as well as a clean driving licence.

The ideal candidate will have undertaken a seat or have previous experience within wills, trust and probate and have a desire to further their career within the agricultural sector. You will have experience in running a case load appropriate to your level of experience.

The Department

We have an exciting opportunity for an enthusiastic and professional applicant to join the Commercial Real Estate team to help to deliver a proactive, secretarial support service to our Fee Earning team.  Previous secretarial experience in Real Estate for this role and knowledge of document production and/or track changes would be a distinct advantage.

Main Duties and responsibilities
Organisational Support
• Effective and productive diary and email management; awareness of Fee Earners workloads to plan ahead with minimal supervision.
• Deal with post, internal and external, distribute and action as required.
• Deal with fee earner filing, to do lists and case management duties.
• Retain up to date knowledge and understanding of Fee Earners matters to enable a proactive support service.
• Maintain a professional attitude and effective communications
• Process relevant on time with accuracy and minimal supervision.
• Undertake basic research (online or otherwise) for Fee Earner when required.
• File opening and closing with minimal supervision.

Client Relationship and Business Development
• Act as a first point of contact for Fee Earners; providing a first-rate telephone support service; taking enquiries and relaying these to the Fee Earner.
• Organise business development meetings and events for Fee Earners; assist in the production of business development materials in liaison with the Marketing team.

Document Production
• Proof read all documents for spelling
• Use initiative to compose drafts and send correspondence
• Preparation of bills and undertaking of the Firm’s procedures in billing, AML and Debt Management.
• Deal with Time Recording matters as required by Fee Earners.
